You will find the 'export' button at the bottom left of the main navigation menu if you have the necessary permissions associated with your role in the study.


The export functionality in this system is a powerful tool for extracting and analyzing data. By clicking on the export icon, users can open the export screen, where they can configure their data exports according to their specific needs. It's important to note that each export group is closely linked to specific permissions that control access. This means that the ability to view and utilize certain exports is strictly regulated based on user authorizations. This ensures the privacy and security of sensitive data while still providing users with the flexibility to configure, select, and export data. This combination of customizability and security makes the export functionality a robust resource for managing and analyzing data within the system.


Export Frequency and Output format


Users can specify how often exports should occur. Whether you need daily or weekly exports, you have the flexibility to set the export frequency that suits your study's operational rhythm.


You can choose the output format for your exported data. Whether you prefer the simplicity of CSV (Comma-Separated Values) or the structured format of XML (Extensible Markup Language), the choice is yours.


Column Selection

For each table included in the export, you can indicate which columns should be included in the export file. This level of granularity ensures that you only export the data fields that are relevant to your analysis or reporting.


It's crucial to maintain data privacy and security. As such, sensitive or private data can only be included in the export if the user has the appropriate authorization. This safeguard ensures that confidential information remains protected and compliant with privacy regulations.


Codebook Export (Questionnaires, Questions, and QuestionOptions)

  1. Activities Export
    This export contains information about activities (questionnaires/tasks). Each activity is uniquely identified by an "Id."
  2. Questions Export
    This export contains information about individual questions linked to activities. Questions are linked to their respective activity through the "ActivityId" field. The "Id" field provides a unique identifier for each question.
  3. QuestionOptions Export
    This export contains choice options for certain question types. Choice options are connected to their corresponding questions via the "QuestionId" field. Each choice option is uniquely identified by an "Id."


Together, these three exports form the "codebook" for your system, connecting questionnaires, questions, and choice options. The codebook illustrates how activities serve as containers for various questions, and questions may have associated choice options. The "ActivityId" in the Questions table establishes a link between individual questions and their parent activity. Similarly, the "QuestionId" in the QuestionOptions table connects choice options to their respective questions.


This structured codebook is invaluable for researchers, analysts, or anyone working with the data as it provides a clear overview of the activity structure and the relationships between its components. It helps ensure that the data is well-organized and can be effectively analyzed or interpreted.



Participants-Related Export (Participants, ParticipantActivities, and ParticipantAnswers)

The participants-related export focuses on providing information about the participants involved in your study, their activities (including the questionnaires they complete), and the answers they provide. Here's a closer look at how these components are interconnected:

  1. Participants Export
    This export contains information about the individuals participating in your study. Each participant is uniquely identified by an "Id."
  2. ParticipantActivities Export
    This export tracks the activities of participants, particularly the questionnaires or tasks assigned to them. The "ParticipantId" field establishes a link to the specific participant involved in each activity. The "ActivityId" field references the activity (questionnaire) associated with the activity. 
  3. ParticipantAnswers Export
    This export captures the responses given by participants to questions within their assigned activities. The "ParticipantActivityId" field associates each answer with the corresponding activity. The "QuestionId" field links each answer to the specific question it addresses. If the question has choice options, the "QuestionOptionId" field indicates which choice option was selected. For questions requiring text or numeric input, the "Value" field contains the entered response.



The participants-related export provides a comprehensive view of participant engagement within your study. It connects individual participants to the activities they undertake, such as completing questionnaires. The "ParticipantActivityId" is a key linkage between participant activities and the answers provided. This structured approach ensures that you can analyze participant data in the context of their assigned tasks, making it easier to draw insights from their responses and monitor their progress throughout the study.

Staff Export

This export provides information about the study team or staff members involved in managing the study. Each staff member is uniquely identified by an "Id." Additional information about staff members, such as names, roles, or contact details, can be included as per your system's configuration.









Measurement Export

In addition to the previously mentioned exports, the "Measurement Export" is a valuable component of the data export functionality in this system. This export specifically focuses on providing the measurements, which can be instrumental in understanding and interpreting participant activities. The Measurement Export contains the measurements that are used within the study. Each measurement is assigned a unique "Id" for identification purposes. The "MeasurementId" field in the "ParticipantActivities Export" is used to reference the specific measurement associated with each participant activity.


By linking participant activities to measurements through the "MeasurementId," you can gain insights into which assessments or measurements were conducted as part of each activity.


ValidationResults Export

Within the data export capabilities of this system, the "ValidationResults Export" takes on a critical role. Its primary function is to evaluate the validity of participant answers and provide insights into their compliance with predefined criteria. Additionally, it offers explanations when an answer is determined to be invalid. This export serves as an quality control mechanism for ensuring the accuracy and reliability of study data. It achieves this by assessing the validity of responses and providing clear reasoning for any instances of invalid answers. In essence, the "ValidationResults Export" contributes to data integrity and empowers researchers and study administrators to make informed decisions based on trustworthy information.
